Smart Organizer: How to Get Your Tasks in Order

How the feed works
Before we talk about icons, it’s important to understand how the list itself works.
1. Automatic sorting: the newest posts are always at the top.
You don’t need to set up filters. The system automatically prioritizes posts by time.
• At the very top of the list are always topics and requests where a change has just occurred.
• The further down you scroll, the “older” the events become.
This allows you to immediately see the pulse of the project: what’s happening here and now.
2. The “disappearing” effect: read items don’t clutter your view
You may have noticed that some entries in the list disappear on their own. This isn’t a bug—it’s a feature!
• If a topic doesn’t have a colored icon, it means a new comment has been posted or the deadline has been moved.
• As soon as you open such a topic/request and read the message, the system marks it as “read,” and it automatically disappears from the Notifier.
Understanding the Color-Coded Icons
To help you grasp the nature of an event at a glance, we’ve implemented a color-coded system. Each icon serves as a call to action.
Red icons - urgent attention required: this is either a new task or a task returned for revision that needs to be addressed, or you have missed the deadline.
Green icons - good news: the assignee has completed the task you assigned. You can review the result and close the issue.
Icons with a clock mean the assignee has extended the deadline. This means the timeline has shifted, and you should update your plans.
The checkmark (mention icon) means you’ve been mentioned; this means a response, clarification, or decision is expected from you. Don’t leave your colleagues in the dark.
Empty checkbox — a new comment has appeared in the thread or task, but without any urgency flags. Just stay up to date on the discussion.
Manual Control of the Notifier
A toolbar appears at the top (when you select a topic or request using the checkbox). Let’s take a look at the three main buttons that give you full control.
1. The “Read” button
Sometimes a topic remains in the list, but you don’t consider it important and just want to remove it from view.
How it works: Check the topic on the left and tap the “Mark as Read” button; the topic is marked as processed and disappears from the Notifier feed, just as if you had read a new message. This is a great way to quickly “tidy up” your list.
2. “Postpone” button
There are days when there are too many tasks, and you physically can’t handle everything at once. Don’t let important notifications get lost in the stream.
How it works: Select a topic and tap “Postpone.” You’ll be offered options: For 1 day, For 2 days, For 3 days, For 1 week. As a result, the topic disappears from the Notifier for the selected period. All updates to it accumulate “behind the scenes.” As soon as the period ends, the topic will return to the list with the latest updates. This is your way of telling the system: “I’m busy, remind me about this later.”
3. “Stop Following” button (Leave the topic)
Sometimes a topic becomes irrelevant, or you decide that your participation in the discussion is no longer needed. Select the topic using the checkbox and click “Unsubscribe.” After that, you will no longer be a participant in this topic/request. The system will no longer send you notifications about new comments or status updates regarding this issue. Your feed will be cleared of content that no longer concerns you.
How to view details without opening the task
You don’t always need to open the full task card to get the gist.
Next to each topic’s title, there’s a small arrow (triangle). Click it to see a preview of the changes:
• Text of the new message / description of the request
• Which deadline has been moved (old date → new date).
This saves a ton of time: you scan the feed and immediately see the context without making unnecessary clicks.
Try working with this system for a week. You’ll be surprised at how much calmer your workday becomes when notifications work for you, not against you.
